Privacy Policy

Privacy Policy

Effective Date: 30 April 2026

This policy explains what data we collect through the website and how we handle it. We comply with the Australian Privacy Act and align with the GDPR and the New Zealand Privacy Act for visitors in those regions.

1. What We Collect

When you fill in a form, book a call, or sign up for a download, we collect what you give us… typically name, email, phone, company, and whatever you’ve written in the message field.

We also collect anonymised analytics data through tools like GA4 and Microsoft Clarity. That includes things like the pages you visit, how long you stay, your approximate location (city level), device type, browser, and referral source.

2. How We Use It

We use what we collect to:

  • Reply to your enquiry or deliver something you’ve requested
  • Run the services you’ve engaged us for
  • Send marketing only if you’ve opted in (and you can unsubscribe any time)
  • Improve how the site and our services perform
  • Meet our legal and tax obligations

We don’t sell your data and we don’t share it with anyone for advertising purposes outside of the platforms named below.

3. Who We Share It With

We use trusted third-party tools to run the business. These can see parts of your data:

  • Google (Analytics, Ads, Workspace)
  • Microsoft (Clarity, Bing Ads)
  • HubSpot (CRM, marketing automation)
  • Stripe and our bank (for payments)
  • Qwilr (proposals and contracts)
  • Notion (project management, when you’re a client)

Some of these store data overseas (mostly US and EU). We only use providers with appropriate privacy and security standards.

4. Security

We use encrypted transmission, access controls, and reputable cloud providers to protect your data. No system online is 100% bulletproof, so we can’t guarantee absolute security, but we treat any breach seriously and will let you know if anything affects you.

5. Cookies

We use cookies for four reasons:

  • Essential cookies that make the site function
  • Analytics cookies that show us what’s popular and what isn’t
  • Preference cookies that remember settings
  • Advertising cookies that help us measure which campaigns work

You can disable cookies in your browser. Some site features may not work properly if you do.

6. Your Rights

You can ask us to:

  • Show you what data we hold about you
  • Correct anything that’s wrong
  • Delete your data (subject to any legal retention obligations)
  • Stop sending you marketing

Email accounts@kiaora.digital and we’ll action it within a reasonable timeframe.

7. How Long We Keep Data

We hold data only as long as we need it for the purpose it was collected. Enquiry data we don’t act on gets cleared periodically. Client data is retained for the life of the engagement plus seven years for tax and legal purposes, in line with Australian record-keeping rules.

8. Changes

If we update this policy meaningfully, we’ll change the effective date at the top. The version on this page is always the current version.

9. Contact

For anything privacy-related, email accounts@kiaora.digital. If you’re not happy with how we’ve handled a request, you can also lodge a complaint with the Office of the Australian Information Commissioner at oaic.gov.au.
